Understanding how much your fleet spends on fuel is important, but knowing how much fuel costs you per mile can give you a much clearer picture of how efficiently your vehicles are operating.

Whether you're managing five vans or fifty HGVs, calculating your fuel cost per mile can help you understand expenditure, compare vehicles and identify opportunities to improve efficiency.

And the good news? It's a relatively simple calculation.

What is fuel cost per mile?

Fuel cost per mile is the amount of money your business spends on fuel for every mile a vehicle travels.

Rather than simply looking at how much you spend filling up, it takes mileage into account.

For example, two vans might each spend £300 on diesel in a month, but if one travels 1,000 miles and the other travels 1,500 miles, their fuel costs per mile will be very different.

This makes it a useful measure when comparing vehicles, reviewing routes and understanding fleet operating costs.

How do you calculate fuel cost per mile?

The formula is straightforward:

Total fuel cost ÷ Total miles travelled = Fuel cost per mile

Let's look at an example.

Imagine one of your vans travels 1,500 miles in a month and uses £300 worth of diesel.

£300 ÷ 1,500 miles = £0.20 per mile

That means the vehicle costs your business 20p in fuel for every mile travelled.

It's important to remember that this calculation only covers fuel. It doesn't include insurance, servicing, maintenance, vehicle finance or other running costs.

How to calculate fuel cost per mile using MPG

If you know your vehicle's average miles per gallon (MPG) and the price you're paying for fuel, you can also estimate your cost per mile.

The formula is:

Fuel price per litre × 4.546 ÷ MPG = Fuel cost per mile

For example, imagine your van achieves 35 MPG and diesel costs £1.50 per litre.

£1.50 × 4.546 ÷ 35 = £0.195 per mile

That's approximately 19.5p per mile.

This calculation uses UK imperial gallons and provides an estimate based on your vehicle's MPG and the fuel price.

Actual fuel costs may vary depending on driving conditions, vehicle load, routes and fuel prices.

Why is fuel cost per mile important for fleet managers?

Knowing your fuel cost per mile can help you make more informed decisions about how your fleet operates.

Compare vehicle performance

Two similar vehicles might have very different fuel costs per mile.

This could be down to driving behaviour, vehicle condition, routes or the type of work each vehicle carries out.

Regular comparisons can help you identify differences worth investigating. For more practical advice, take a look at our guide on how to reduce fuel costs across your fleet.

Understand the impact of fuel price changes

When fuel prices rise, the cost of operating each vehicle increases.

Tracking fuel cost per mile can help you understand how those changes affect your business and support more accurate budgeting. With diesel costs putting pressure on businesses, understanding the rising cost of running a van in 2026 can also help put your fleet expenditure into perspective.

Identify unexpected increases

If a vehicle's fuel cost per mile suddenly increases, it could be worth looking into.

Changes in driving behaviour, tyre pressures, vehicle maintenance or refuelling patterns may all contribute.

Make better business decisions

Understanding your fuel expenditure per mile can help when reviewing delivery costs, estimating journey expenses or comparing vehicles.

It's particularly useful for businesses where vehicles are essential to providing a service.

What affects your fleet's fuel cost per mile?

Several factors can influence how much fuel a vehicle uses and how much that fuel costs.

Fuel prices: Changes in diesel or petrol prices directly affect your cost per mile.

Driving behaviour: Harsh acceleration, speeding and unnecessary idling can increase fuel consumption.

Vehicle maintenance: Incorrect tyre pressures and mechanical issues can reduce efficiency.

Routes and traffic: Congestion, repeated stops and inefficient journeys can increase fuel usage.

Vehicle load: Carrying additional weight can increase fuel consumption.

Vehicle type: Different vehicles naturally have different fuel requirements, so comparisons should account for their size and purpose.

How often should you review fuel cost per mile?

For many businesses, reviewing fuel cost per mile monthly is a useful starting point.

This gives you an opportunity to identify changes without making the process unnecessarily complicated.

If your fleet covers high mileage or fuel expenditure is a significant operating cost, more frequent monitoring may be worthwhile.

It's also important to compare like-for-like vehicles and consider differences in routes, loads and driving conditions.

Start understanding your fleet's fuel costs

You don't need complicated systems to start calculating fuel cost per mile.

Begin with three pieces of information:

How much you've spent on fuel.

How many miles your vehicle has travelled.

The period you're measuring.

Use the formula to calculate your cost per mile, then repeat it regularly to identify trends.

The real value comes from tracking how that figure changes over time, rather than calculating it once and forgetting about it.
